Temple Hills Swim Club Inventory Walk

The Goal

We are creating a complete record of everything at the pool.

For each item, we need to know:

What is it?
How many do we have?
Where is it?
What condition is it in?


What Lifeguards Need to Do

For every item:

  1. Take a clear picture
  2. Name the item
  3. Count how many we have
  4. Choose its condition
  5. Enter where it is stored
  6. Add a note only if something is wrong

That is it.


Condition Options

Choose one:

  • New
  • Good
  • Fair
  • Poor
  • Replace

Examples of notes:

  • Cracked
  • Rusted
  • Faded
  • Missing strap
  • Broken handle
  • Needs cleaning


Information to Enter in Shopify

Each inventory record should include:

  • Item name
  • Photo
  • Category
  • Quantity
  • Storage location
  • Condition
  • Damage notes
  • Date counted
  • Counted by


Inventory Categories

Use the closest category:

  • Lifeguard Equipment
  • Pool Cleaning
  • Pool Furniture
  • Maintenance
  • Office
  • Snack Shack
  • Swim Lessons
  • Events
  • Other


How We Will Complete the Inventory

We will move through the pool one area at a time.

Example:

  1. Guard office
  2. Pool deck
  3. Equipment room
  4. Pump room
  5. Storage shed
  6. Snack Shack
  7. Main office
  8. Event storage

Do not jump between areas.

Finish one area before moving to the next.


Important Rules

  • Do not guess the quantity.
  • Do not skip small items.
  • Do not combine different items under one name.
  • Take a new picture if an item is damaged.
  • If something is missing, mark it Missing.
  • If you are unsure what something is called, ask James.

Date: Inventory date


The Standard

When we finish, we should be able to check Shopify and immediately know:

  • What equipment we own
  • How many we have
  • Where it is located
  • What needs repair
  • What needs replacement
  • What may be missing

We should never have to wonder what tools, supplies, or equipment are available at the pool.
